Payroll Specialist

A Morris County based company is seeking a temporary to hire payroll candidate to hit the ground running for a growing medical services company.
Responsibilities:
- Full-cycle payroll preparation and processing for multiple states in a multi-entity environment using ADP WFN for close to 800 employees.
- Perform payroll processing and certain administrative tasks such as pay data batch adjustments, manual check processing, off-cycle processing, and pay data imports.
- Run various pre-payroll processing reports and payroll reconciliation; perform necessary comparisons and audits to ensure proper payroll balancing of all time batches and adjustment batches. Including timecard exceptions, paid time off reconciliation, new hire pro-rated/retro pays, garnishments etc.
- Process special payrolls, manual checks, bonuses, incentive pays, doctors’ commissions, and out of sequence payroll runs (off-cycle payrolls).
- Manage Time & Attendance system including auditing, consolidating and resolving discrepancies as required.
- Ability to read and explain each section of the paystub.
- Prepare and analyze periodic reports of earnings, taxes, deductions, historical data, and other relevant reports.
- Assist with the company payroll tax filings and deposits, working with state agencies and vendors to ensure compliance with local, state and federal tax agencies. Review and manage quarterly and annual tax filings and deposits. Assist with tax and regulatory inquiries regarding payroll.
- Ability to create reports in ADP Workforce Now.
- Ensure compliance with all garnishments and support orders including federal, state, and local tax withholding. Set up new local and state tax accounts where needed. Knowledge of local taxes and remote employee taxing.
- Perform standard control procedures and maintain payroll-related records while ensuring legal compliance.
- Assist with year-end payroll processing tasks, including W-2 reconciliation, consistent wage and hour compliance monitoring, etc.
- Assist with mergers and acquisitions (M&A) integrations for payroll processing, ensuring entities, access and employees are set up correctly. Train regional leaders on supervisor access, approvals and processes in ADP.
- Prepare and maintain accurate records and reports of payroll transactions.
- Review punch-in/out timecards for hourly employees, overtime, and unapproved time-off requests prior to processing payroll.
- Basic understanding of doctors’ commissions on net collections, net productions, bonus payments and other types of compensation activities.
- Work closely with HR to resolve employee related pay inquiries and issues.
- Review and validate data flow reporting for accuracy, research and correct issues found during processing. Identify and recommend updates to payroll processing software, systems, and procedures. Assist with implementation of company-wide payroll initiatives.
- Analyze payroll data and clearly explain payroll variances between previous and current payroll runs.
- Pickup, sort, and scan mail correspondence received at the corporate office.
- Prepare ad-hoc reports and analysis as needed.
- Performs other duties as assigned.
Payroll Specialist Requirements and Qualifications:
- 7+ years in a payroll-specific role.
- Must have experience working for a multi-state and multi-site firm
- Prior experience working with traveling (multi-site) employees whose payroll cost may be charged to multiple sites or cost centers.
- Expertise in ADP Workforce Now required.
- Strong proficiency in Excel, including Pivot Tables and VLOOKUPs, etc.
- Must be detail-oriented, highly organized, and possess excellent time management skills to successfully meet established deadlines with high attention to detail.
- Must have excellent verbal and written communication skills.
- Must have outstanding work ethic, willing to roll-up sleeves work attitude.
