The Senior AP Accounts Assistant plays a key role in ensuring the smooth operation of the Finance Team. This position is pivotal in maintaining strong relationships with suppliers by ensuring timely payments within agreed contract terms. The role also involves collaborating with various departments to address invoice backlogs and improve processes within accounts payable.

Duties Include:

Manage significant accounts payable areas, including CAPEX, power, rent, and rates.
Reconcile supplier statements and promptly resolve discrepancies.
Maintain and review supplier master data integrity.
Delegate tasks, reports, and proposals as needed while identifying opportunities for process improvements within the accounts payable team.
Organise bi-monthly payment runs to ensure accurate payments to creditors, including preparation of required documentation and reports.
Ensure all cash postings are completed before each payment run.
Prepare monthly aged creditor reviews with commentary and follow-up actions.
Oversee invoice processing and maintain weekly trackers for distribution across teams.
Build strong relationships across departments to facilitate collaboration.
Monitor shared email inboxes and exception reports, ensuring queries are addressed within target KPIs. Handle escalations effectively.
Oversee purchase order requests, including communication and training for staff on PO creation and payment issues. Conduct monthly reviews of open purchase orders and follow up on outstanding items with requestors.
Manage the operation of the expense system, including reviewing claims for compliance with finance policies and ensuring proper approvals.
Review unallocated payments to ensure postings are completed prior to month-end deadlines.
Prepare monthly operational expenditure forecasts for inclusion in cashflow reports.
Park month-end journals related to accounts payable activities.
Complete monthly balance sheet reconciliations for accounts payable accounts.
Resolve system-related issues by addressing open service tickets promptly.
Prepare KPI reports and summaries on accounts payable activities each month.
Assist in external payment reporting practices as required.
Update procedural documentation to ensure compliance with internal audit requirements and future SOX standards.
Support year-end tasks and internal audits as needed.

You are:

Experienced working with SAP S/4 HANA systems - essential.
Strong team player capable of collaborating effectively under tight deadlines.
Excellent attention to detail with strong data analysis and interpretation skills.
Part Qualified ACCA/AAT desirable but not essential.
