Purpose of the Role

  • The Talent Acquisition Assistant plays a vital role within our Talent Acquisition department, contributing to our mission of building the world's best pet care platform.
  • This role is central to efficient recruitment processes, ensuring a seamless experience for candidates and internal stakeholders alike. By managing job postings, handling applications, and coordinating candidate communications, the role is pivotal in supporting our strategy to create a better world for pets and the people who love them.
  • The incumbent will collaborate closely with internal teams and external partners, adapting processes to enhance recruitment efficiency and effectiveness.

Responsibilities

Talent Acquisition Administration

  • Post job advertisements on a range of platforms to attract top talent and ensure maximum visibility.
  • Monitor and manage incoming applications, ensuring candidates are acknowledged promptly to maintain a positive experience.
  • Screen and shortlist applications against job criteria, providing support in identifying potential candidates.
  • Prepare and distribute recruitment-related documents, such as offer letters, ensuring accuracy and promptness.

 

System and Data Management

  • Maintain and update the applicant tracking system (ATS) and other HR software to track candidate information and progression accurately.
  • Ensure compliance with data protection regulations (e.g., GDPR) to safeguard all personal data and maintain best practices.
  • Generate and analyse data on Talent Acquisition metrics to support strategic decisions and enhance team performance.

 

Candidate Experience

  • Act as a primary contact for candidates, handling inquiries with efficiency to uphold a professional company image.
  • Assist in onboarding activities, facilitating a smooth transition from candidate to valued employee.

 

Collaboration and Team Support

  • Liaise with internal stakeholders to clarify Talent Acquisition needs and align recruitment timelines.
  • Participate in process improvement initiatives, offering insights to elevate the Talent Acquisition administration function.
  • Provide centralised administrative support across departments, ensuring high-quality execution of People services.

About the Role

The Talent Acquistion Assistant plays a crucial role in supporting the recruitment processes within the Shared Service team. They are responsible for coordinating administrative tasks, ensuring the efficient delivery of recruitment services, and providing a high-quality candidate experience. This role serves as a key support function to the Talent Acquisition team and hiring managers by managing communications, maintaining recruitment systems and following all processes. You will be required at times to work across different parts of the Shared service team as and when required.

Key Responsibilities - What you'll be doing

  • Post job advertisements on internal and external platforms, including job boards
  • Monitor and manage applications, ensuring timely acknowledgment of candidates.
  • Screen and shortlist applications against job requirements, where required.
  • Prepare and distribute recruitment documents, such offer paperwork
  • Maintain and update applicant tracking systems (ATS) and other internal software with candidate information and recruitment progress eg Trackers
  • Ensure accuracy and compliance with data protection regulations (e.g., GDPR).
  • Generate data on Talent Acquisition metrics and performance for wider Talent Acquisition team reporting.
  • Act as a point of contact for candidates during the recruitment process, ensuring timely responses to inquiries.
  • Assist with onboarding documentation and activities, ensuring a seamless candidate-to-employee transition.
  • Liaise with internal stakeholders to ensure clarity on Talent Acquisition needs and timelines.
  • Contribute to process improvement initiatives to enhance the Talent Acquisition administration function.
  • Provide centralised administrative support across multiple departments, ensuring consistent, efficient, and high-quality delivery of People services and processes.

About You - What you'll bring to the role

Essential

  • Strong organisational and time management skills, with the ability to handle multiple tasks and priorities.
  • Excellent verbal and written communication skills.
  • Detail-oriented with high accuracy in administrative tasks.
  • Proficiency in using applicant tracking systems (ATS), HRIS, and Microsoft Office Suite.
  • Team-oriented with a collaborative approach to problem-solving.
  • Ability to maintain confidentiality and handle sensitive information appropriately

Desirable

  • Previous experience in a customer facing roles involving a high degree of verbal and written communication
  • Previous experience working within a Resourcing or wider People Function support position
