Job Title: Administrative Assistant (100% On-site)

Location: Chicago, IL (Pilsen area – 60616)

Pay: $25–$28/hour

Job Description:

We are seeking an organized and proactive Administrative Assistant to provide comprehensive support to department directors and their teams. This individual will manage a wide range of administrative responsibilities and ensure operational efficiency across departmental projects and communications. The ideal candidate thrives in a fast-paced, purpose-driven environment and brings strong interpersonal, organizational, and problem-solving skills.

Key Responsibilities:

Provide high-level administrative and project support to department leadership.
Coordinate calendars, meetings, trainings, and travel logistics.
Prepare and maintain detailed reports, presentations, and documentation.
Track departmental budgets, invoices, and check requests.
Serve as liaison with HR, IT, facilities, and cross-functional departments.
Organize and manage logistics for internal and external events.
Draft and distribute meeting agendas, take minutes, and ensure timely follow-up.
Maintain organized records, contracts, and electronic filing systems.
Submit service and maintenance requests for department needs.
Foster communication and collaboration across teams and departments.

Qualifications:

Bachelor’s degree or equivalent administrative experience required.
Minimum 2 years of experience in an administrative role, preferably in a non-profit setting.
Passion for social justice and working in a mission-driven environment.
Excellent written and verbal communication skills.
Strong organizational and time management skills.
Proficiency with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint).
Ability to work independently and adapt to new technologies and processes.
Bilingual English/Spanish is a plus.
Experience with HR support, budgeting, or benefits administration is a bonus.

Additional Details:

Schedule: Monday–Friday, 9:00–5:00 PM
Assignment Type: Ongoing temporary role with potential for permanent conversion
