Executive Assistant- Investment Banking

London – Onsite 3 days a week

£250-£300pd

The role of the AVP - Executive Assistant to the Head of Digital Engineering Services and Solutions is primarily focused on effectively coordinating and managing the schedule and meetings of the Head. This includes ensuring that all necessary documents are prepared and available in advance, thereby facilitating the smooth operation of the Digital Engineering Services and Solutions department.

Key Responsibilities:
•

Coordinating diary management and meeting arrangements •

Ensuring meetings start and end on time •

Acting as the host for department meetings and events •

Managing events for senior leaders and external visitors •

Handling high-level queries while managing sensitive information •

Monitoring the Head's mailbox and prioritizing correspondence •

Managing travel arrangements and coordinating visitor schedules •

Planning comprehensive itineraries, including booking travel and arranging visas •

Collating and distributing meeting minutes and reports •

Preparing strategic documents and supporting policies •

Overseeing expense claims and leave requests •

Drafting high-quality communications •

Organizing management team meetings and administering absences •

General office administration tasks •

Acting as the main point of contact for business administration queries

Skills and Qualifications:
•

Proven experience in executive assistance or administrative support roles •

Exceptional organizational and time management skills •

Strong communication skills (verbal and written) •

Ability to handle confidential information appropriately •

Experience with event planning and coordination

Nice to Have:
•

Experience in a digital engineering or technology environment •

Familiarity with corporate governance and high-level meeting protocols
