Job Title: International Programs Specialist

Pay: $22 – $24 / Hour

Work Schedule: Monday–Friday, standard business hours (occasional evening/weekend support or minimal travel as needed)

Job Description:

The International Programs Specialist supports a range of global programs by coordinating logistics, managing communications with international partners, and ensuring the smooth operation of travel, events, and scholar exchange initiatives. This position is ideal for candidates who enjoy multitasking, have strong attention to detail, and are passionate about cross-cultural collaboration.

Key Responsibilities:

Provide day-to-day administrative support to the International Programs department, including managing schedules, emails, and calendars.
Coordinate international and domestic travel arrangements for staff, faculty, and visiting scholars.
Process reimbursements, visa documents, and other travel-related expenses in accordance with policies.
Draft and manage communications including program materials, reports, meeting summaries, and professional correspondence.
Assist in promoting exchange and scholar programs via email campaigns, printed materials, and web content updates.
Maintain updated partner and host institution records; help identify new partner sites.
Coordinate logistics for guests attending U.S.-based educational events including hotel, registration, and itinerary planning.
Support internal coordination with marketing, meetings, and membership teams to execute international events.
Help develop and administer post-program surveys and outcome evaluations.
Manage international membership documentation and liaise with internal membership operations teams.
Assist with translations and preparation of educational/patient materials when needed.
Attend select international meetings or events as needed (minimal travel required).

Qualifications:

Associate’s degree required; Bachelor’s degree preferred.
3–4 years of administrative or program coordination experience, preferably in a nonprofit or international setting.
Excellent written and verbal communication skills.
Highly organized with strong time management and problem-solving skills.
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint).
Ability to work independently while adhering to standard procedures.
Interest in global engagement and international program coordination.

Additional Details:

This role is non-exempt and does not have supervisory responsibilities.
Travel requirements are minimal but may include attendance at the organization’s annual event or select international programs.
This position works closely with departments such as education, events, membership, and executive leadership.
Candidates must be authorized to work in the U.S. without sponsorship.
