Logistics Administration Assistant
Support the engine room of our Port Melbourne logistics operation
We’re looking for an Administration Assistant to play a key support role in keeping our transport and warehouse operations running smoothly day to day for a 12-month maternity contract.
This is a hands-on, varied role suited to someone who enjoys coordination, problem-solving, and being at the centre of communication between customers, drivers, depot teams and management. You’ll work across freight documentation, customer enquiries, compliance support and general depot administration — with exposure to multiple parts of the logistics function.

What you’ll be doing
Operational & Administrative Support

Manage freight documentation including manifests, consignment notes, run sheets and delivery paperwork

Coordinate daily administrative activities to support transport, fleet and warehouse operations

Maintain accurate records across logistics systems (e.g. CBS, D365, Tollworks or similar)

Provide administrative support to yard, fleet and warehouse teams

Ensure procedures are followed and documentation meets audit and compliance standards
Customer Service & Communication

Act as a first point of contact for internal and external enquiries

Liaise with drivers, subcontractors and internal teams to support efficient workflows

Coordinate information flow between teams to keep operations moving

Prepare correspondence, reports and basic operational communications
Compliance, Safety & Reporting

Support compliance with WHS, Dangerous Goods and Chain of Responsibility requirements

Assist with incident reporting, safety administration and maintaining compliance registers

Generate reports, KPI tracking and performance summaries as required
Continuous Improvement & Depot Support

Identify inefficiencies and suggest practical process improvements

Assist with onboarding new team members through administrative support

Provide backup support across fleet, operations, administration and container control during leave or peak periods
What we’re looking for
Essential
-
Experience in an administrative, coordination or support role

Ability to manage multiple tasks and priorities in a fast-paced environment

Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint)

Excellent organisation, attention to detail and document management skills

Clear, professional written and verbal communication

Reliable, adaptable and comfortable working both independently and in a team
Desirable

Experience in logistics, transport, warehousing or freight

Familiarity with CBS, container control systems or ERP platforms (e.g. D365, SAP)

Understanding of Chain of Responsibility and safety compliance
