Business Line Assistant

Hybrid Working - London - 2-3 days a week on site.

Lorien's leading financial services client is looking for a Business Line Assistant to join them, this role provides support to the CAO and the UK GC/COO Office, as well as other Legal teams and platforms where required, across a broad range of business management activities, including technology and other transformation initiatives, maintenance of internal technology tools, data analytics and monitoring, cost and budget oversight, and general operational support.

This role is based in London.

This role will be Via Umbrella.

Working in a Hybrid Model of 2-3 days a week on site.

Day to Day:

  • Assist with transformation projects (planning, scoping, implementation and monitoring), covering topics such as technology/AI implementation (primarily using the MS365 ecosystem and internal LLM tools), process improvements, cost efficiency initiatives and administrative matters.
  • Assist in maintaining internal SharePoint sites, chatbot tools and other administrative databases, documents and systems.
  • Support data analytics and management reporting: design and implement appropriate key indicators and management information packs; produce and distribute these on a periodic basis (automating where possible); assist in analysing and monitoring outputs, performing controls and following up with relevant stakeholders as required.
  • Support external law firm management processes, including onboarding, relationship management, invoicing and recharging, monitoring spend against approved budgets, and following up on unapproved budgets and invoices.
  • Support headcount management processes.
  • Assist in gathering information required for legal budgets, accruals and cost monitoring.
  • Provide support to the GC Office and lawyers on ad hoc administrative needs, and assist in resolving operational and process-related issues as they arise.
  • Promote and support training for staff and external law firms on relevant Legal policies and procedures; provide day-to-day support to lawyers on operational and process-related matters.
  • Deliver day-to-day tasks independently, without close supervision, while having access to guidance from more experienced team members.
  • Build and maintain strong internal working relationships and interact with a wide range of stakeholders both within and outside the immediate team, ensuring timely and effective delivery of requests.

Key Skills and Experience:

  • Bachelor's degree in business management or a related discipline preferred.
  • Advanced IT literacy, with strong knowledge and practical experience in using advanced features across the MS365 suite (eg SharePoint Lists/Forms, Power Apps, Power Automate, Power BI). Knowledge of VBA, macros or other programming languages is an advantage.
  • Basic project management skills, with the ability to support planning, coordination and delivery activities.
  • Strong relationship management and business partnering skills, with the ability to work effectively with internal and external stakeholders.
  • Team player with a collaborative and proactive approach.
  • High level of accuracy and attention to detail, with the ability to identify errors and apply sound judgement when prioritising workload.
  • Strong written and verbal communication skills.
