Position Summary:
The Service Coordinator is responsible for supporting daily service operations through real-time email monitoring, work order creation, communication routing, procurement support, invoicing, and client follow-up. This role ensures work orders move efficiently from intake through completion while maintaining clear communication and accurate documentation in FIT, Service Channel, and related systems.
This is a highly detail-oriented, technology-driven position.
Hours:
Monday-Friday 7:00am-3:30pm OR 8:00am-4:30pm
(5 days per week, in-office position)
Responsibilities and Duties: The Service Coordinator is a critical role that ensures our customers workorders are accepted and set up correctly and efficiently, allowing the company to meet and client expectations.
Primary Duties:
- Managing service request/ client communication email inbox
- Issue purchase orders to parts vendors
- Follow up on parts orders, update our system accordingly with delivery dates
- Enter invoices in client portals
- Complete end of day invoice exports from applicable inhouse software systems
- Other misc. Administrative tasks related to the above items
- Additional duties as assigned
Qualifications:
Required Skills and Abilities:
- Strong attention to detail and organizational skills
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite (Outlook, Excel, Word, OneDrive)
- Comfortable working within multiple software platforms and online billing portals
- Ability to manage deadlines and prioritize tasks effectively
- Ability to work independently in a fast-paced office environment
Experience
- Experience working in a billing, accounting, or administrative role is required
- Experience in the Electrical, Construction, or Facility Services industry is preferred
Education/Licensure/Certifications
- High School Diploma or equivalent is required
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
Other Requirements:
- Candidates must be authorized to work in the United States
- Position is onsite Monday-Friday
- Candidates must pass a drug test and background check prior to starting work
