Staff Accountant

The Morgan Adams Foundation is a Denver-based 501(c)(3) organization, the mission of which is to fund critically needed pediatric cancer research. The Foundation focuses on basic science studies, providing the seed funding needed to fuel investigative inquiry into both novel drug development and alternative drug usages. Since our first fundraising initiative in 2001, the Foundation has funded nearly $6.0M in pediatric cancer research studies and innovative drug applications and has had definable impact on bettering the lives of children battling cancer.

This position performs a wide range of financial accounting functions. This position is responsible for ensuring proper administration of accounts receivable, accounts payable, cash management, general ledger bookkeeping, and other duties as assigned in a growing, dynamic organization.

Primary Responsibilities:

  • Accounting/Financial reporting:
    • Maintain the accounting software (QuickbooksOnline) and chart of accounts.
    • Assist with annual budget preparation and load the final/approved annual budget into the accounting software.
    • Assist with the annual audit, including prep prior to and during the field week, with preparing, pulling, and organizing the needs and requests of the external auditors.
    • Calculate and file monthly and quarterly sales tax reports for the fundraising events.
    • File periodic and yearly Secretary of State filings.
    • Maintain annual registrations for vehicles.
    • Maintain vendor information to produce and distribute annual 1099s to vendors and IRS filing.
    • Month-end close of general ledger which includes handling accruals and prepayments.
    • Prepare monthly financial reports for management.
    • Collaborate with all departments to create, compile, and maintain accurate accounting data for financial and departmental reporting and analysis tools as requested.
    • Prepare event revenue and expense reconciliations and reports.
    • Attend MAF signature events (2-3 per year) and assist with accounting needs.
  • Accounts Payable:
    • Retrieve, receive, and distribute invoices, including ACHs, for approval.
    • Review coding accuracy and enter approved invoices weekly, and ensure vendor terms and discounts are being taken, and no sales tax is added to the invoice.
    • Initiate weekly check runs and ACH payments.
    • Maintain and review online credit card transactions to ensure transactions follow policies; reconcile coding to receipts and post to general ledger.
    • Create and maintain vendor files.
  • Accounts Receivable:
    • Record and reconcile all receivables and payments, including, but not limited to donations, grants, etc.
    • Create various invoice(s) as needed for different departments, and to be recorded as receivable.
  • Cash and Donation Management:
    • Process daily sales receipts and deposits and reconcile to donor database (Salesforce) weekly.
    • Record remote and physical bank deposits timely, typically 2-3 times per week.
    • Assist with updating weekly cash flow report.
    • Reconcile multiple bank and investment accounts monthly.

Knowledge / Skills:

  • Exceptional attention to detail and a strong capacity for focus and organization.
  • QuickBooksOnline knowledge is required.
  • Must be proficient with MS Office (Excel proficiency is mandatory).
  • Experience with cloud-based bill pay system such as RAMP preferred.
  • At least three years' experience in non-profit accounting preferred.
  • Ability to maintain a high level of confidentiality.
  • Team-oriented professional, who will enjoy working in a collegial office environment.

  • Effective oral and written communication skills.

Work Environment, Location and Conditions:

  • This position is non-exempt.
  • The typical schedule for this position is Monday Friday, 9:00 am 5:00 pm MT.
  • This position is primarily in office, located in Denver, CO, but may move to a hybrid position (1-2 days remote work) after 90 days of employment and managerial approval.

Education / Training:

Associate's Degree in Accounting preferred or equivalent training, experience and credentials.

Benefits

Shift: P/T : This is a part-time position, averaging 30 hours of work per week. Hours may increase to 35+ after major fundraising events and before annual audit.

Compensation and Benefits :

The hiring range for this position is projected to be $30.00 - $32.00 per hour, depending on experience.

Part-time employees at 30 hours per week are eligible for the following employee benefits: Medical Insurance/403(b) Retirement Program/CO Sick Leave. Short-term disability is available through the Colorado FAMLI program.
