An Executive Assistant is required for our Government client to provide complex diary and inbox management for senior staff whilst balancing competing priorities in order to maximise available time, de-conflict appointments, re-arranging schedules etc. sometimes at short notice.
Essential Skills & Experience required:
As the Executive Assistant you will possess the following:
Experience of working with senior leaders in a high-profile government working environment
Ability to organise a daily workload by priorities and able to meet deadlines in a fast-paced, dynamic environment
Demonstrable administration and support skills, with strong attention to detail
Excellent written and verbal communication skills whilst comfortable liaising with a wide variety of audiences
Demonstrable experience of handling sensitive information, displaying tact and diplomacy and maintaining confidentiality
A proactive approach to problem-solving with strong decision-making skills
Experience of managing a busy diary and/or inbox
Desirable would be any previous experience of working within digital/technical teams
Also any previous experience of working for a government/public sector organisation.
Responsibilities include:
Provide complex diary and inbox management for Senior Staff.
Prioritise emails for Senior Staff and provide high-quality correspondence.
Organise meetings, visits and other engagements with both government and external stakeholders.
Organising travel arrangements for senior staff ensuring all expenses policies are adhered to and an effective itinerary is provided.
Provide secretariat support to their directorates' private offices, including preparing agendas, handling minutes and ensuring actions are followed up on.
Maintain an electronic filing system, ensuring processes are up to date and in working order, handling sensitive information discreetly and in accordance with official guidance.
Able to develop a deep understanding of Senior Staff priorities to effectively flag emerging issues they should be aware of, and act where necessary to support.
Assist with business support functions, eg managing external stakeholder communications, helping to organise team away days, supporting on recruitment and onboarding of new staff.
